Mitel PBX Phone System Retirement Project
OIT has started a multi-year, phased project to migrate our customers from the legacy Mitel PBX Phone Service to the new Microsoft Teams Phone Service. Over 1,600 customers have been migrated. Basic and Advanced users are expected to be migrated by January 2025.
Microsoft Teams Phone Services
New telephone service, utilizing Microsoft Teams Soft Phone services, is now available for new employees and for those who currently do not have a UCI phone number. This service can be requested by submitting a Telephone Service Request.
- Includes voicemail and unlimited domestic calling (including Hawaii and Alaska)
- International Calling is available upon request and will be billed on a per-minute basis
Legacy Mitel PBX Campus Phone Services
We are transitioning away from the Mitel PBX Phone System and, as a result, new Mitel PBX Phone Services are no longer available. During this transition period, if we are unable to provide MS Teams Phone Service, exceptions will be made.
Common Area Phones
OIT subsidized courtesy phones located in common areas such as classrooms, labs, lobbies, and hallways will be retired unless a department chooses to pay for them.
Mobile Phone Discounts
Mobile phone discounts are available for personal and business use. Please contact palcard@uci.edu for more information.
Headsets
Headsets are not offered by OIT, but departments can purchase any headset of their choice. Most headsets on campus are POLY (formerly Plantronics) headsets with Mitel phones. You can view the Compatibility Guide to help you decide which headset you want by entering your phone type.
Cordless Phones at UCI
Cordless Phones are not offered by OIT, and they are highly discouraged because they have been known to interfere with wireless access points.

Billing
Most recharge services provided by OIT are billed through the Pinnacle Billing System and will appear on a single statement. Please review your statements on a regular basis. We will continue to bill until you request to terminate the recharge service(s). No retroactive refunds will be given if you fail to do so. To terminate a service, please submit a Telephone Service Request.

- Customers migrating existing phone numbers and telephone services to MS Teams phone service, including the installation of a Teams physical phone, will not be charged OIT labor.
- OIT labor, based on recharge rates, will be charged to install new hardware phones, setup new call queues, call controllers/auto attendants, and hunt groups.
- If a MS Team physical phone is lost or stolen, OIT will charge the department $297.74.
Legacy Mitel PBX Phone Services (including Voicemail)
For FY 24/25, the pricing for our legacy Mitel PBX telephone service will increase. This is due to fixed expenses that continue to rise year over year. Until now, we’ve managed to keep our prices lower by using carryover funds from previous years. Unfortunately, these funds have now been depleted. As a more affordable alternative, we recommend considering the Teams Phone Service, which includes voicemail and unlimited domestic calling, covering Hawaii and Alaska.

If an employee leaves the university, will the department automatically stop being billed for their phone service?
No, the deactivation of telephone services is not initiated by the UCPATH offboarding process. Some departments prefer to retain the phone number for future use by new hires. Therefore, each department will continue to incur charges for their phone service until they expressly submit a request to disconnect it. To avoid unnecessary billing, it’s important for departments to actively manage their telephone services and submit disconnection orders when a phone is no longer needed.
Is it possible to retain a specific phone number after an employee leaves, for future use?
Yes, a department can certainly retain a phone number after an employee’s departure if it’s intended for future use by a new hire. However, please be aware that the department will continue to incur charges for the telephone service until the position is filled by a new employee. To facilitate the transition, once a new employee is onboarded, the department should submit a Service Now (SN) ticket to initiate a change of the name associated with the extension. This ensures the phone number is ready and available for the new employee without interruption.
Can retirees keep their phone service after they retire?
Yes, retirees can keep their phone service after retirement if their department chooses to continue supporting this service.
The department would need to continue paying for the service in order for the retiree to keep the phone number. Please note that this is also applicable for Teams phone service.
